Data Processing in Connection with Your Business Relationship with Bio-Seehotel Zeulenroda
If you enter into a contract with us, for example, in the context of a customer, supplier, or service relationship, the following data is usually collected from you:

  • Salutation, Title
  • First Name, Last Name
  • Address
  • Contact Details (Email Address, Phone Numbers, Fax Number)
  • Company Information
  • Bank Details
  • Creditworthiness Data (occasionally or as a spot check)

We generally require this data:

  • To correspond with you, for example, to answer your inquiries, provide optimal advice, or share information regarding contractual services.
  • To enforce and fulfill rights and obligations arising from existing contracts (e.g., preparing offers, invoicing, payment of invoices, delivery of goods, etc.).
  • To comply with legal obligations and statutory requirements, particularly proof obligations under tax law.
  • To send direct marketing materials within the legally permissible scope.
  • To assert or defend against possible claims.

To provide you with appropriate credit limits and payment terms as our guests/customers, we use credit information from specialized service providers (detailed information can be found at: www.crifbuergel.de/de/datenschutz and www.creditreform.de/eu-dsgvo). Our business experiences with you, including outstanding liabilities, due dates, payment deviations, and payment durations, are supplemented by these external reports and subjected to an internal qualitative analysis. Any analysis data remains internal and is not shared with third parties. Depending on the result, we assign a purchasing limit for our customers, i.e., a supplier credit, and enable purchases with payment terms, i.e., a payment condition for direct debit (SEPA direct debit) or payable by invoice with payment terms.

When processing your data, we rely on:

  • The necessity within the framework of initiating and/or fulfilling a contract (Article 6(1)(b) DSGVO),
  • The fulfillment of legal obligations (Article 6(1)(c) DSGVO), and
  • Legitimate interests that we can fulfill through processing (Article 6(1)(f) DSGVO), e.g., when sending direct marketing materials.

Your personal data will only be transferred to third parties if necessary for fulfilling the aforementioned purposes. For example, we forward your data to:

  • Shipping service providers for the delivery of shipments,
  • Financial institutions for payment processing,
  • Authorities in the context of tax audits.

Furthermore, we commission service providers who may have access to your data in our systems as part of their activities, such as IT service providers (e.g., software maintenance) who support us in maintaining the functionality and security of our systems. With such service providers, we have concluded so-called data processing agreements that ensure the compliant and instructed handling of your data.

Your personal data will generally be stored for as long as is required to fulfill the aforementioned purposes. Indicators for the storage period may be the duration of your business relationship with us and/or legal retention periods, e.g., under the Commercial Code and the Fiscal Code (6 or 10 years after the end of the calendar year in which the contractual relationship was terminated). After fulfilling the respective purpose and the associated retention period, your data will be anonymized or deleted, making it impossible to trace it back to you.

Then it is in our legitimate interest (Article 6(1)(f) DSGVO) to send you promotional and informational materials about our offers, our range of services, or other interesting topics from the industry. The goal is to increase awareness of Bio-Seehotel and the services offered, thereby contributing to the long-term success of the company. To send you these materials, primarily by post or in direct contact with our employees, we use the following information about you:

  • Salutation, Title
  • Name, First Name
  • Address

We only share your data within this context if it is necessary to fulfill the stated purposes. For example, printing companies and shipping service providers receive your data to personalize and deliver the materials accordingly.

Digital Newsletter and Telephone Direct Marketing

a) Newsletter Subscription and Withdrawal
The Bio-Seehotel Zeulenroda regularly informs interested parties, customers, and business partners about the latest news and offers from the company through a newsletter. You can subscribe to our digital newsletter by providing your consent on the registration form available at the Bio-Seehotel Zeulenroda or by registering directly on our website at www.bio-seehotel-zeulenroda.de.

To receive the newsletter, your email address is required, while providing your first and last name is optional. We use this information to address you personally in the newsletter.

For legal reasons, a confirmation email is sent to the email address you provided, following a double opt-in procedure. This confirmation email serves to verify that the owner of the email address has indeed authorized the receipt of the newsletter. You will only be registered for the newsletter after clicking on the confirmation link. Information about this process is stored in our system for verification purposes (including IP address, date, and time).

We utilize the expertise of IDEENKOMBINAT, Leykestrasse 15, 12053 Berlin, under a data processing agreement, to manage the newsletter distribution, log subscriptions, and measure success. The service provider is committed to using the newsletter subscribers' data solely according to our instructions and to protecting it with appropriate technical and organizational measures. No personal data collected as part of the newsletter service will be shared with third parties.

You may withdraw your consent for data processing within the newsletter distribution at any time. A corresponding link for withdrawal is found in the footer of every newsletter. Please note that the legality of the data processing up to the point of withdrawal remains unaffected by the withdrawal.

b) Newsletter Tracking
The software we use for sending newsletters allows us to analyze our newsletter campaigns. Using so-called tracking pixels, we can see, among other things, whether a newsletter message was opened, when it was opened, from where it was opened, and which links, if any, were clicked. This way, we can determine which links were clicked most frequently. These pieces of information can technically be assigned to individual newsletter recipients. However, neither we nor the service provider intend to monitor individual users. Instead, these evaluations help us recognize reading habits in groups of our users and tailor our content accordingly or send different content based on our users' interests.

You can stop this analysis at any time by unsubscribing from the newsletter. Simply click on the corresponding link at the end of each newsletter.

c) Telephone Direct Marketing
If you have given us your consent for telephone direct marketing, for example, by filling out the registration form, we will use the phone number and name you provided to inform you via call and/or SMS about current, tailored offers from Bio-Seehotel Zeulenroda. If you choose not to grant us consent for telephone direct marketing, this will have no negative impact on your relationship with us. You can withdraw this consent at any time with future effect by informing a Bio-Seehotel Zeulenroda employee over the phone or by sending an email to info@bio-seehotel-zeulenroda.de. Please note that the withdrawal does not affect the legality of the data processing up to the point of withdrawal.

Contests and Sweepstakes
Bio-Seehotel Zeulenroda occasionally offers participation in contests and sweepstakes. If you wish to participate, we need certain data from you to verify your eligibility and conduct the contests and sweepstakes.

This may include your first and last name, address, phone number, and email address. These data are necessary to conduct the contest, especially to match participation entries to the respective participants, determine and notify the winners, and send out prizes. The personal data received are processed and used by Bio-Seehotel Zeulenroda only to the extent necessary for conducting the contest.

The data processing in this context is based on your consent (pursuant to Art. 6(1)(a) DSGVO). You can withdraw this consent at any time with future effect by sending an email with your withdrawal to info@bio-seehotel-zeulenroda.de. Please note that from the moment of withdrawal, you will no longer be able to participate in the contest. The withdrawal does not affect the legality of the data processing up to the point of withdrawal.

Personal data will be stored for the duration of the contest and for a maximum of three years thereafter to process any potential claims for prizes and damages. If you win a prize, your data will be stored for at least 10 years to fulfill tax-related record-keeping obligations.

Please also take note of the specific terms and conditions and data protection notices for each contest.
